Creators Hub

A workspace for content creators who run several clients at once, with content, approvals and payments in one place.

Overview

Designing one workspace for creators who run client work like a business.

Creators Hub is a B2B desktop platform for professional content creators and social media managers running multi-client operations. They were stitching together scheduling apps, project tools and spreadsheets just to manage a basic client workflow, and every new client made it worse.

The problem

Every new client made it worse.

Content creators managing multiple clients are running a real business, but their tools don't reflect that. Disconnected apps mean missed approvals, invisible blockers, and revenue quietly leaking away.

  • Context-switching between tools all day
  • Blockers nobody can see until they stop the work
  • Missed deadlines
  • Revenue lost to late or forgotten invoices

Research

Understanding the friction.

In-depth interviews8 freelancers and agency owners who run client work every day.
Shadowing sessionsObserving the "3 PM context-switch" across 5 browser tabs.
Competitive auditWhy generic CRM systems fail the creator production workflow.

Where user goals and business goals meet.

User goals
  • Organization and time saved on admin work
  • Never miss payments
  • Focus on creating content
Business goals
  • Maintain a large number of users
  • Create daily dependency through value
  • Increase subscription revenue
The sweet spot: daily value for the creator is what keeps the subscription.

We spoke with 8 freelancers and agency owners.

Each one described how they manage client work today.

Managing multiple client accounts means constantly switching between channels just to keep everything on track.

Maya, social media manager

I spend too much time tracking revisions, deliverables, and changing plans instead of focusing on the actual creative work.

Jake, freelance creator

Managing approvals requires precise coordination to ensure every decision is documented and aligned.

Shira, content approval lead

Articles, forums and academic research.

Alongside the interviews I read workflow guides from Sprinklr and SocialBee, tool roundups from SaaS Advisor and Schedule Threads, Hootsuite's dashboard material, trend reports from ABI Research and the Content Marketing Institute, and academic work on content workflows from ScienceDirect. I was looking for how the industry describes a creator's day, and where tools assume one brand instead of a roster of clients. Almost every source treated approvals and payments as separate problems, and that split became the starting point for Creators Hub.

Empathy map

The mental load of professional creation.

Four creators, one summary.

Says

  • I feel like I'm juggling 8 different things every day
  • Where is the latest approval link for this client?
  • I need a better way to get paid on time
  • Switching between apps is slowing me down
"A simple question can turn into a full-day delay"Maya, social media manager

Thinks

  • Is this client actually profitable for my time?
  • I'm afraid of missing a deadline and losing a roster
  • Will adding one more tool actually solve the mess?
  • I wish I could focus more on the craft than the admin
"The longer the gap, the harder it feels to restart"Jake, freelance creator

Does

  • Starts the day by checking 4 different platforms
  • Manually copies approval data to spreadsheets
  • Chases client feedback over WhatsApp and email
  • Spends evenings adjusting plans for the next morning
"I spend a lot of time at the end of the day adjusting plans"Tomer, early-stage founder

Feels

  • Overwhelmed by repetitive, low-value admin
  • Anxious when a client follows up on an "invisible" link
  • Unsure how to scale without burning out
  • Burdened by carrying the weight of coordination
"I carry most of the weight of coordination and accountability"Shira, content approval lead

User story

A week of client work, with and without one system.

Creators Hub is sold to a market, not built around one person, so instead of a single persona this compares how a multi-client creator operates today against how the same work runs inside the product.

“I’m juggling a dozen clients and the work is everywhere. I just want one place that keeps it straight.”

Start of day

Checks 4 platforms to piece together what's due and who's waiting.

One dashboard shows which clients need action today.

Approvals

Chases feedback over WhatsApp and email. One missing approval stalls publishing.

Approvals sit in one queue with a clear status and a one-click nudge.

Payments

Tracked from memory and manual checks. Follow-ups pile up.

Invoices are tied to deliverables. Overdue ones surface in Needs Attention.

Files

Assets scattered across tools. Context is lost at every handoff.

One asset library per client, with versions.

New client

Every new client adds another layer of manual upkeep.

Same workflow for every client, so growth doesn't add chaos.

End of day

Evenings spent re-planning, with no signal that everything was checked.

An empty Needs Attention list means the day is done.

Pain points

Four problems. One root cause.

Four kinds of pain kept coming up, and each one fed the others. Creators had no single view of their work and no source of truth for client status. Approvals stalled publishing, with feedback arriving on different platforms and contradicting what came before. Payments were tracked from memory, so matching money to clients took real effort. And because none of it scaled, every new client felt like a risk, with no clear signal that the day was done.

User journey

The handoff gap.

The pain isn't inside any stage. It's at every handoff between them, and that's where design adds the most value.

Solution

Bringing everything into one place.

A system that brings content, approvals, performance and payments together, so creators can cut operational overhead, avoid mistakes, and take on more clients with confidence.

  1. Clarity and overviewA real-time view of all clients, and what needs attention right now.
  2. Approvals and feedbackCentralized approvals with an unambiguous status, so decisions are never lost.
  3. Workflow and task flowLess friction between planning, creating and approving, so a small missing step can't cause a full-day delay.
  4. Payments and businessDeliverables, approvals and payments connected in one business flow.
  5. Scale and trustA system that stays stable as clients are added, so creators can stop relying on memory.

Outcome

Where this concept leads.

Projected outcomes, based on research patterns and the design hypotheses explored in this project.

Design hypothesis

Faster creative workflows

With feedback loops and assets in one space, creators could switch context less and spend more time in focused work, with coordination fading into the background.

These are design targets, not measured results. They haven't been tested with users yet.

Conclusions

What I learned.

This project shifted how I approach product work, from designing screens to designing the system that connects them. The hardest problems lived in the seams between features, where context, ownership and state change hands, and mapping those handoffs early exposed risks no single screen review would catch. Anchoring on one clear user frame turned subjective debates into testable questions, and defining measurable outcomes before wireframing meant every feature had to earn its place, which kept the MVP focused.

Next steps

What I would do next.

Test with real creators

Run moderated usability sessions with 5 to 8 freelance creators to validate the Needs Attention flow, measure task success and time on task, and feed the findings into the next iteration.

Take approvals mobile

Design a companion mobile experience for the most frequent, lowest-effort actions: approving content and nudging clients on unpaid invoices. Desktop stays the workspace; mobile handles the quick decisions.
